How to nail the airport transfer
Get flight times, luggage and traffic buffers right – so no one has to sprint through security over 10 lost minutes.

Provide full inbound and outbound flight details at request
Flight number, date, departure/arrival time, terminal. Operators calculate with flight tracking: arrival − 60 min = pickup time at terminal. Departure + check-in time + buffer = arrival at airport. For charter flights, specify airport code explicitly (e.g. FRA vs. HHN).

Match bus to luggage volume
1 suitcase plus 1 carry-on per person is standard. For package holidays with families (2 suitcases) or sports trips with equipment: ask for luggage compartment volume upfront. Rule of thumb: 53-seat coach has 8–10 m³ = ~50 standard suitcases. Beyond that, add a trailer.

Set realistic traffic buffers
Frankfurt for example: from 7 AM expect 30 min A5 jam, peak hours 30–60 min extra. Formula: standard check-in (flight minus 2h international, minus 1h Schengen) + 30 min traffic buffer + 15 min bus disembarking. For groups with kids or seniors add 30 min.

Demand flight tracking explicitly
Professional airport transfer operators monitor flight numbers in real time and auto-adjust pickup. Delays wait at no extra cost (in most tariffs), early arrivals trigger earlier dispatch. Is it in the offer? If not, renegotiate or pick a different operator.

Book round-trip as a package
Two separate jobs cost 30–40% more than a round-trip package. For multi-day tours the bus can return in between (cheaper only on very long breaks) or "park" at the operator. Ask about "double trip with home break" pricing.
What really matters for airport transfers
Large airport, long terminal walk: Frankfurt, Munich and Düsseldorf have bus drop-offs 5–10 minutes from the terminal. Confirm with the operator: direct terminal drop (often with €10–20 fee) or bus bay with walk?
Plan night surcharges deliberately: Flights between 10 PM and 6 AM have night surcharges (15–25%). For very early departures: 4 AM pickup is often cheaper than overnight stay plus early start.
Designate a "bus captain": For groups of 30+, name a point person from the group who communicates delays or stragglers with the driver. Frees you as organiser.
